How Much Does QuickBooks Cleanup Cost? What Drives the Price

By Derek J. Hartsfield, CFO · Published October 18, 2026 · Last reviewed October 19, 2026

QuickBooks cleanup is priced by the amount of work involved, so two businesses can receive very different prices. Knowing what drives the price makes it easier to compare options and to understand what you are buying.

The main cost drivers

  • Number of accounts. Each bank account, credit card and loan has to be reconciled separately.
  • Transaction volume. More transactions per month means more to review and categorize.
  • Months behind. The longer the gap, the more periods need work, and errors compound.
  • Complexity. Payroll, sales tax, inventory, sales through platforms such as Shopify or Amazon, and old unpaid invoices and bills all add work.
  • Condition of the existing file. A file with years of duplicates, miscategorized items and unreconciled accounts takes longer than one that is simply behind.
  • Quality of source records. Complete statements and documents shorten the work. Missing records take time to reconstruct.

How to compare quotes

Ask what is included. A quote should say which accounts and which months are covered, whether each account is reconciled to its statements, and how problems found along the way are handled. Be cautious of a price that does not say what it covers.

Ask how corrections are supported

Good cleanup is documented. Each correction should trace to a statement or source document, so you can see what changed and why. Work that simply forces accounts to balance is cheaper in the short run and costs more later.

Fixed price or hourly

A fixed price gives you certainty. Hourly work can cost less when the scope is small and uncertain, but it can grow. Many owners prefer a fixed price once the scope is clear.

The three things that set the price

Cleanup cost is driven by volume, time span and the number of accounts. A single account with a few dozen transactions in one month is a very different job from several accounts over a year. Complexity within those transactions matters too, but these three factors explain most of the difference between quotes.

Why a flat guess is risky

An hourly estimate sounds fair but is hard to predict. A cleanup that reveals old errors takes longer than one that does not, and the client carries that uncertainty. A fixed price based on measurable inputs is easier to plan for and easier to compare.

What is typically included

  • Reviewing every transaction in the period against the bank or card statement.
  • Categorizing each transaction to the correct account, traced to the vendor or customer.
  • Correcting duplicates, transfers recorded as income or expense, and misposted entries.
  • Reconciling each account so it agrees to its statement.

What can change the quote

Missing statements, records that are disorganized or incomplete, and very high transaction volumes. Providing organized statements and receipts up front speeds the work and keeps it accurate.

How to compare providers

Ask what is included. A lower price that skips reconciliation or fills holding accounts with guesses leaves problems in place. Ask how corrections are supported, and how the provider handles items it cannot resolve. A clear scope and turnaround tell you more than the headline number does.

Questions we hear most often

Is a larger file always more expensive? Generally yes, because volume drives the time. A longer period with few transactions can cost less than a short one with many.

Do you charge more if you find problems? Our pricing is set by volume, accounts and months, so the quote does not change because a cleanup is messier than expected.

A worked example

Consider one bank account with under 100 transactions in a single month. That is the smallest job, and it is priced accordingly. Add a second account, a longer period or a higher transaction volume, and the price rises in proportion to the added work. Our calculator shows your price as soon as you answer four short questions, so you can compare it with any other quote before you decide.

What to ask before you accept a quote

Ask whether the price covers reconciliation, whether it is fixed, and what happens if the records turn out to be messier than expected. A clear answer to each tells you more than the number itself.

See your price

For straightforward QuickBooks Online files, you can see your price on this site in about a minute from your accounts, monthly transactions and months behind. For larger or more complex files, we start with a fixed-price assessment so you know the scope before committing.
